The Commons Events is focused on providing exceptional experiences, whether it be a dazzling holiday party, a memorable wedding, a unique social gathering or bespoke meetings. By joining the Commons Events team, you will play an integral role in the organization, management, and successful execution of each exquisite event held here at The Commons.
This role is the link between the Venue Operations Coordinator and the client to ensure the event space is prepared to the clients’ unique specifications. Their key responsibility will be to support our Event Coordinators through admin, logistics and operations. The person in this role will be onsite during events to coordinate all moving parts as directed by our Event Coordinators and represent our venue with professional confidence and a welcoming disposition.
We are looking for an energetic and vibrant person who gets excited about the little details (and appreciates that they’re essential in drawing up the bigger picture!). An enthusiast for both internal and external events, she or he will be skilled in time management and be an attention-to-detail wizard. The ideal candidate will enjoy collaborating with our internal team, clients, liaising with vendors and bringing extraordinary event visions to life while focusing on the logistics, administration and operations of each event.
Admin and customer service
Prepare contracts, invoices, client folders and payment documents
Support Event Coordinators by coordinating details of event rentals, on-site staffing, security, room set up, permits, licensing etc.
Develop event orders that are clear, concise and functional enabling seamless execution by all Commons staff involved
Possess creative problem solving skills ensuring exceptional customer service
Ensures all standard operating procedures/policies are adhered to
Collect & compile feedback from clients and vendors
Propose new ideas to improve processes and procedures and make recommendations to the Event Director
Logistics and operations
Attendance at all large-scale events and staff smaller events appropriately
Make sure the day-of event runs smoothly while providing exceptional customer service
Assistance with and/or coordination of event set up in collaboration with our Community Concierge
Meet the physical demands of the job, such as move furniture or extended periods on your feet while hosting an event
Manage inventory systems and ordering supplies
Events certificate or diploma preferred, but not necessary
Minimum 1-2 years experience in the events industry
Demonstrates experience in administration coordination or any combination of the above
Willing to consider applicants who can easily demonstrate a sound knowledge of events operations, administration and have some experience coordinating events or participating on an events team
Punctuality and Reliability are crucial for this role
Possess a sound working knowledge of Excel, Word; it would be a bonus to know Adobe Creative Suite (Illustrator, InDesign, Photoshop)
The schedule will be flexible - with some regular office hours as well as evening and weekend hours for on-site event supervision as needed
